Schedule Tasks
Setup a practice formation with Tasks! You now can generate a task request to schedule for individual staff members or groups. A helpful reminder and pop-up notification will be shown in the top right-hand corner. Tasks can also be linked to a patient.
Head to Settings > Tasks Setup to begin.
Firstly, we have created Staff Groups in order to be able to send group tasks. The default options are based on Admins on Pearl, and user types.
These can be found in Settings > Tasks Setup > Staff Groups
Next you can add user defined Tasks if you are using them for routine assignments. Again, we have added in some ideas, but these can be customised.
These can be found in Settings > Tasks Setup > Task Items Setup
Now you have the option to setup a patient task, or a practice task.
To do a practice task, click the
icon in the top right-hand corner.
If a task is specifically required for a patient, then you can create a task on the patient details screen, to import their details (see image below)
Finally, we can give the Task the following options:
- Task Name
- Patient if necessary
- Due Date (ASAP will not require a date)
- Reminder - When they are due to get the notification e.g. 5 Minutes before
- Assign to myself - personal tasks
- Assign to groups
- Assign to specific staff
Required By All - If the task needs to be completed by all staff or the task will be marked as complete if a single staff has completed it.
When it comes within the reminder due time the staff will then receive a notification in the top-right corner.
Tasks can finally be marked as acknowledged with the following options:
- Completed
- Attempted (task still open) e.g. rang to remind for appointment today but went to answerphone
- Not Done
Patients can now request Documents completed via email
Patients can request to have any signed documents emailed to them either on the Pearl Pad or via the Kiosk. Please check you have the following settings in Pearl:
- An SMTP Email account added and set as default via Settings > Practice Settings > General > Send Email Method & Default Email (If you are unsure, please give us a call!)
- A default Patient Report email Template. (Settings > Communication Setup > Default Communication Templates > Email > Patient Report
Once the patient has completed all the requested documents, it will ask if you would like to receive an Email.
Next, you can select which email address you would like to send it to, and which documents. There is a useful Select all button!
Finally you will see a copy of the email sent via the Patients Correspondence window.
To Disable this feature, head to Settings > Practice Settings > Interactive Modes > Disable Email Documents to Patient
Show Selected Appointment for Copy/Move
When moving or copying appointments, there will now be extra info about the appointments being amended. When moving multiple appointments hover for a tooltip!
Add Additional Notes for Accounts
You can include additional notes or auto text templates to the Accounts page for each Patients. Simply double click on the blank space to begin. These notes show historical changes and additions.
Treatment Items and Defects Show All Additional Options
The setup menu for treatment items and defects have been updated to show all information. For example, NHS sites can see the FP17 banding and filter those. This will be especially useful for the upcoming NHS Band 2 changes. You can also see the price options for each item.
Other Added Features
- FP17DC form now includes the practitioner's name
- Ortho assessments will only save and prompt status updates if any changes made
- Recalls and lapsed recalls now show the patient type colours
- Patient duplicate search will detect possible results much quicker
- Treatment Item search will be more accurate finding items with special characters
- The logout button will now be disabled if Pearl needs to update
- The Refund receipt printout wording has been improved
- No longer can create templates with duplicate names
